Cancellation & Rescheduling Policy
This policy is designed to be fair to our guests while protecting the safety, scheduling, animals, and staff of Clover B Ranch. By booking an activity, guests acknowledge and agree to the following terms.
1. General Policy Overview
Clover B Ranch operates with limited availability, live animals, and scheduled staff. Cancellations impact horses, employees, and other guests. For this reason, all bookings are subject to the cancellation terms below.
All cancellation, rescheduling, refund, and credit policies apply on a per-person basis, not per booking. Each individual participant is subject to the policy regardless of group size, shared reservations, or partial attendance.
All cancellation and reschedule requests must be communicated directly to Clover B Ranch.
2. Guest-Initiated Cancellations
Standard Cancellation Window

Cancellations made 7 days prior to the scheduled activity may be eligible for a refund, minus any non-refundable booking or processing fees.

Cancellations made within 7 days of the scheduled activity are non-refundable.

Cancellations made day-of or no-shows will be charged 100% of the booking total.
3. Illness, Injury, or Personal
We understand that unexpected situations can arise. However:

Illness, injury, personal emergencies MAY be eligible for a refund. This is at the Ranch's discretion and whether or not there is time to rebook the spots.

Guests who choose not to participate on the day of their booking for personal reasons are considered day-of cancellations.
At management’s discretion, a partial credit may be issued for unused spots if the ranch is able to rebook them. This is not guaranteed.
4. Group Bookings

Failure of some group members to attend does not qualify for refunds for remaining participants.
5. Rescheduling Policy

Requests to reschedule made more than 24 hours in advance may be accommodated based on availability.

Rescheduling requests made within 24 hours of the activity are treated as cancellations and are non-refundable.

Rescheduled bookings must occur within the same season unless otherwise approved.
Rescheduling is not guaranteed and depends on horse availability, staffing, and weather conditions.
6. Weather Policy
Clover B Ranch operates in varying weather conditions.

Activities will proceed in rain, wind, or cooler temperatures.

Weather-related cancellations are determined solely by Clover B Ranch.

If Clover B Ranch cancels due to unsafe weather conditions, guests will be offered the choice of:

A full refund, or
-
A rescheduled date (subject to availability).

Guests who cancel due to weather concerns when the ranch is still operating are subject to standard cancellation terms.
7. Safety-Based Cancellations & Participation Restrictions
Clover B Ranch reserves the right to cancel or refuse participation if a guest:

Does not meet weight, age, or ability requirements

Appears under the influence of drugs or alcohol

Refuses to follow safety instructions

Displays unsafe behavior around horses or staff
These situations are non-refundable, as staff, horses, and time have already been allocated.
8. Late Arrivals

Guests must arrive at least 30 minutes prior to their scheduled activity time.

Late arrivals may result in shortened ride time or inability to participate.
-
Missed rides due to late arrival are considered day-of cancellations and are non-refundable.
9. No-Shows
Guests who fail to arrive for their scheduled activity without notice will be charged 100% of the booking total and are not eligible for refunds or rescheduling.
10. Booking Fees & Processing Fees
All third-party booking, processing, or credit card fees are non-refundable, even when a refund is approved.
11. Management Discretion
Clover B Ranch reserves the right to make reasonable exceptions to this policy at management’s discretion. Any exceptions made do not set precedent for future bookings.
12. Policy Acknowledgment
By booking with Clover B Ranch, guests confirm they have read, understand, and agree to this Cancellation & Rescheduling Policy. This policy applies regardless of booking platform.
Clover B Ranch reserves the right to modify this policy at any time. The version in effect at the time of booking will apply.
